It's so important to ensure everyone in your hybrid or virtual event knows what they're doing so the event can run smoothly. Use our pre-made email template below to cover all your bases with your poster presenters who are presenting at your face-to-face, hybrid or virtual event.

We recommend sending it to your poster presenters at least 6 weeks in advance- and putting the details in a calendar invite which you send to them.

"Dear colleague

Congratulations - your poster ([Insert title of poster]) has been accepted for presentation at [Insert the name of your event].

We're so looking forward to having you, and can't wait to display your poster using MedAll's Social Poster Hall technology.

Shortly you will get an email invitation to upload your poster from MedAll - if you do not receive this please make sure to check your junk mail. When you receive it click "accept invitation," and login (or set up) a MedAll account.

We recommend you upload your poster in A3, Landscape format and it must be uploaded as a PDF. We also recommend you uploading a 1 minute pitch video to go alongside your poster so people can learn a bit more about your work.

Please ensure you invite your co-author(s) so they can be listed as a coauthor on the event and they can receive a copy of the letter recognising your poster presentation. You can do this by clicking on "invite co-author" and entering their email. They must accept your invitation.

To edit the title, abstract or list of authors on the abstract please contact our organisation at [Insert your email] . Please note that changes will not always be possible so please try and ensure all is correct on the first attempt.

After accepting your invitation, you can update the file you uploaded as your poster from your own MedAll Account by logging in at MedAll.org, click "my profile" > "posters" > the page icon > "edit poster"

You can share you poster on social media using the share link and this will show a poster preview to your followers.

When we launch the full poster hall there will be a "trending posters" bar- to get your work recognised in this featured poster bar, you will need to encourage others to engage with your poster such as your likes, comments and and shares.
